ROLE DESCRIPTION
Open Shadows is seeking an organized and self-directed ops and admin professional to serve as Operations & Administration Manager. This role will be responsible for managing and strengthening the organization's administrative systems, including finances, correspondence, scheduling, and records.
The ideal candidate will bring a deep commitment to democratic values, a strong understanding of authoritarian threats in the U.S., and experience in at least one of the following areas:
- Nonprofit operations or administration
- Bookkeeping or finance
- Executive support or office management
- Systems or process design for small organizations
KEY RESPONSIBILITIES
In close partnership with the executive team, the Operations & Administration Manager may:
- Manage day-to-day finances, including invoices, payments, reimbursements, and budget tracking
- Administer paperwork, including onboarding, offboarding, and records
- Manage organizational inboxes and correspondence, and support calendars, scheduling, and travel
- Formalize and manage the organization's project-management system
- Build and maintain internal systems, including records and filing, partner tracking, and standard operating procedures
- Communicate with vendors and partners
- Support other administrative tasks as needed
QUALIFICATIONS
- 2+ years of relevant experience in operations, administration, or equivalent roles, ideally within a nonprofit or small organization
- Strong organizational skills and the ability to manage many priorities largely independently
- Experience choosing tools and establishing systems or processes from scratch
- Comfort with basic bookkeeping, spreadsheets, and everyday digital tools
- Strong written communication skills
- Discretion and sound judgment in handling sensitive information
- Lived experience or a connection to the communities we serve is strongly valued

STRUCTURE
This is a part-time position structured as an independent contractor role, at approximately 20 hours per week and $26-28 per hour, depending on experience. The role is primarily remote, with one flex day per week in person at the organization's Washington, DC office.
